    Responsibilities

    To provide administrative support to the Bid Team to ensure that the team produces high-quality bids to an agreed schedule.

    Key Responsibilities/Accountabilities:

     

    The Bid Administrator will need to be familiar with office administrative processes, business development and bidding policies, IT systems, document filing, maintenance of bid library and supporting documentation and should have a good understanding of bid submissions and how to produce them. They will need to be able to look for gaps in existing supporting documentation and develop a plan in conjunction with the rest of the team, and other departments as required, to fill these gaps and be actively involved in all stages of compiling bid documents to a high standard. They will also need to have experience in standardizing template bid documents and creating and updating a library of bid documents. Their role will include:

     

    • To assist in the preparation of bid documents.
    • To ensure that all incoming and outgoing documents are filed correctly and are communicated to those people that need them.
    • Manage diary and arrange meetings (physical and remote), make travel booking etc.
    • Carry out office administrative task such as printing, binding, copying of documents.
    • Assist in organizing the bid workflow and follow up on actions delegated by the Senior Bid Manager.
    • Work with members of the business development team as needed when preparing bids.
    • Assist in developing standard documentation to support bids, working with marketing where appropriate.
    • Assist in preparation of responses to pre-qualification questionnaires and similar pre-tender documents.
    • Work with business systems team when necessary to optimise processes.
    • Assist in assembling information for handover to project teams upon award of contracts.

     

     

    Qualifications

    Education and Person specifics

     

    • Educated to tertiary level (A-level preferred) with a minimum of GCSE’s in English and Maths
    • Office or Business Administration Qualification/training
    • 4+ years of experience in a similar role
    • Excellent command of the English language
    • Proficient in MS Office
    • Excellent accuracy and attention to detail
    • Able to accept responsibility for tasks assigned
    • Good communication skills both written and verbal
    • Excellent organizational, time management and planning.
    • Proactive - can work alone as well as part of a team
    • Excellent interpersonal skills and able to deal with people at all levels
    •  Able to attend meetings and work to deadlines out of normal office hours.
