We reqire someone to cover a 12 month maternity leave absence at our Neasden, London offices working in the Support and service Team.   In this role you will be a key member of our Administration Team your primary responsibility will be to provide service and support to both ‘our’ entertainment venues and projects worldwide.  If you are intrested in this role please submit a CV and cover/letter email outlining your availability to start, notice period to serve (if any) and your salary expectations.

Responsibilities

Key Job Responisbilities:

  • First point of contact with internal and external customers.
  • Filing and Processing Customer Enquiry emails.
  • Manage Customer Purchase Orders, Sales Orders, Sales Quotes and Invoicing.
  • Monitor and follow up customer accounts to highlight overdue payments etc.
  • Monthly review of outstanding Sales Orders and Sales Quotes.
  • Request Supplier quotes and collate information for final costings on Support maintenance jobs.
  • Track Supplier’s orders to ensure timely delivery; or if needed the early notification of delays that may impact planned jobs.
  • Back ground research on companies and products.
  • Keep Helpdesk records up to date e.g. contacts; communications; costings, quotes, POs, and all updates as received including shipping details allowing fast response to customer queries.
  • Word processing, document and report production and data management on spreadsheets using Microsoft Office.
  • Filing and Document Management on SharePoint based system.
  • Provide administration support to the Head of Support.
  • Work closely with Support Logistics Co-ordinator & Support Operations Manager.
  • Assisting with travel Booking and logistics.
  • Assisting with the packing and distribution of goods when required.
  • Providing holiday cover.

Educational Attainment

Maths & English GCSE (or equivalent) grade C or above.

 

A good all-round general education.

A-Levels (or equivalent) or other qualifications e.g. NVQ’s etc.

Knowledge Required

Management systems; Computer Literate with all Microsoft Office suite.

AutoCAD, Viewer, SharePoint, and Microsoft Project.

Experience Required

Experience of working in a customer driven environment.

Work within the Events, entertainment or conference related industry.

General Intelligence

Fluent spoken and written English.

 

Excellent literacy skills, with the ability to compose internal and external communications that are grammatically correct, with good use of the ‘English’ language, no spelling errors etc.

 

Skills and Aptitudes Required

Possess good IT skills and a working knowledge of MS Office.

 

High level of verbal and written communication skills.

 

Excellent interpersonal and communication skills with all levels of management.

 

Time management and prioritising skills.

 

You will be a self-starter, with the ability and drive, to grow and develop the role.

Use of EPICOR finance and ordering systems.

Interests

Desire to learn and eager to gain new skills.

Circumstances

Right to work in the UK.

 

This is a full-time position; core hours would be 40 hours per week Mon to Fri 8am – 5pm. There may be a requirement to work outside these core hours from time to time, so flexibility would be appreciated.

Able to attend some meetings out of normal office hours.
